    Overview    
Background

During my role as an Architecture Assistant at Hyundai ENG America, we worked with over 100 contracting companies, managing predefined email formats for various situations. Each email type had different recipient and CC lists, and any project updates had to be manually communicated to all relevant parties, making the process time-consuming and inefficient.

Goal

To streamline workflow efficiency, a collaborative tool with automation features is needed to reduce time spent on repetitive tasks.

User Interviews

1. Why does inefficient communication occur?

To better understand the reasons behind inefficient communication,
I conducted interviews with four Document Controllers I work with at Hyundai ENG America.

"Team members often receive critical updates too late, leading to misalignment."

"It takes a significant amount of time to identify and follow up on modifications in shared documents."

2. How do you currently handle repetitive tasks?

When asked about their methods for managing repetitive tasks, respondents shared the following approaches

- "Manually typing notes into a memo app for immediate reuse."
- "Using Excel to store and categorize commonly used messages."
- "Reopening previous emails, modifying necessary sections, and resending them."

These repetitive workflows were a common pain point among all interviewees. This finding suggests that a snippet feature could significantly streamline their processes by reducing manual input and improving efficiency.

Competitive Analysis

Based on key interview insights, we compared existing products and found that many users struggle with limited cross-platform compatibility and lack of collaboration features, despite these tools being used in team environments. Our product aims to fill these gaps and better meet user needs.

Main Dashboard Development Process

We removed the top menu bar to make all options visible directly on the main dashboard. The workspace is placed on the far left for easy selection and management. Team members are clearly displayed for quick recognition, and creating or deleting notes is made as simple as possible. We've also made grouping folders and notes user-friendly, so everything is easy to find at a glance.

Information Architecture

A well-structured framework that organizes content intuitively, ensuring easy navigation, quick access to information, and a seamless user experience. Designed for effortless note creation and management.

Typography & Colors

Our design system uses Manrope for a modern and clean look, ensuring readability and accessibility. The primary color, #008AE6, reflects trust, professionalism, and innovation.
